How to turn AI meeting notes into a client proposal
·Updated ·Caleb Wallace, Founder of PREZENTD
How do you turn AI meeting notes into a client proposal? Let your notetaker (Zocks, Jump, or any other) capture the meeting, then export or copy the transcript and paste it into PREZENTD. PREZENTD writes an internal Meeting Report and a Client Profile, and the builder drafts a branded proposal from that context on your firm's template. You review it, run your compliance check, and send it as a PDF or a presentation link.
This guide walks through each step. It is written for small and mid-sized RIAs that already use an AI notetaker and still build the proposal by hand afterward. PREZENTD is our product; where we describe it, we describe exactly what it does today, including what it does not do.
Why notes alone do not become a proposal
AI notetakers solved the first half of the meeting. They capture what was said, draft the follow-up email, and update the CRM. The proposal is the second half, and it is a different kind of document: it has to be on your brand, carry your disclosures, follow the structure your firm uses for every prospect, and speak to what this particular client cares about.
Most firms bridge that gap by hand. An advisor rereads the notes, opens last month's proposal, swaps in the new client's details, and spends an afternoon reformatting. The notes are good. The hand-off is the slow part.
What each tool does in this workflow
| Step | Tool | What happens |
|---|---|---|
| Capture the meeting | Your notetaker (Zocks, Jump, Zeplyn, Focal, or similar) | Records or joins the meeting, writes notes, updates your CRM |
| Move the transcript | You | Copy or export the transcript or notes and paste or upload them into PREZENTD |
| Understand the client | PREZENTD Meetings & Firm Memory | Writes a Meeting Report and a Client Profile; never spends credits |
| Draft the proposal | PREZENTD Deliverable Builder | Builds a branded document or slide deck from the profile, your template, and your Sources |
| Review and approve | Advisor and compliance | Edits, checks disclosures, approves before anything is exported or shared |
| Deliver | PREZENTD | PDF on every plan; presentation links and PowerPoint on Pro and Team |
One thing to know up front: PREZENTD does not record meetings and has no notetaker, CRM, or calendar integrations. There is no automatic sync from Zocks, Jump, or any other tool. The transcript moves by copy and paste or file upload. That is a deliberate boundary, and it means PREZENTD works alongside whatever notetaker you already use.
Step 1: Capture the meeting with your notetaker
Run the discovery or review meeting the way you do today. Get client consent to record according to your firm's policy and applicable state law, and let the notetaker produce its transcript and summary. A full transcript gives PREZENTD more to work with than a short summary, because the Client Profile quotes the client directly and the Meeting Report cites transcript evidence.
Step 2: Export or copy the transcript
Open the meeting in your notetaker and copy the transcript text, or download it as a file. Most notetakers offer one or both; check your tool's export options. PREZENTD accepts pasted text or up to 10 files per meeting in TXT, Markdown, DOCX, PDF, VTT, or SRT format, and each file can be marked as Transcript, Notes, Intake sheet, or Other. If you have a holdings export, save it as CSV; PREZENTD accepts CSV, not Excel.
Step 3: Log the meeting in PREZENTD
There are three ways to log it: Add meeting transcript on the client's page, Log a meeting from the Meetings page, or mark attached files as a meeting transcript inside the builder. Past meetings can be imported too, up to 25 files per batch, with you confirming the client, date, and step for every row before anything becomes a meeting.
Transcripts are kept as Sources your firm owns, encrypted and visible on the client's page, until you delete them. Deleting a Source removes the file and everything extracted from it.
Step 4: Read the Meeting Report and Client Profile
Within a minute or two, PREZENTD writes two internal documents.
- The Meeting Report scores the meeting out of five against your firm's selling framework (Sandler, SPIN, Challenger, Consultative, or up to eight custom criteria), lists three things done well and three to improve with transcript evidence, recommends a strategy for the next meeting, and flags deliverable opportunities, each with the quote that triggered it and a matching template if you have one.
- The Client Profile is a living, versioned document covering fit and urgency, a decision-making matrix, priorities, blind spots, objections, and up to three direct quotes. On top sits the editable How to present to this client box: lead with, they care about, say, and don't say.
Both are internal. They have no share link and can only be emailed to members of your workspace. Logging meetings never spends deliverable credits on any plan. Every meeting also adds to Firm Memory, the firm-level lists of what wins, objections you hear, and language to use or avoid.
Take two minutes to edit the How to present to this client box if anything is off. The builder reads it directly, and your edits are protected from later rewrites.
Step 5: Draft the proposal from a Reusable Template
If your firm has a proposal it is proud of, save it as a Reusable Template first. PREZENTD keeps it verbatim and writes a Reuse Recipe describing what stays fixed and what changes per client.
- Adapt with AI forks the template and runs one bounded AI pass guided by the recipe and the new client's context, clearing out the previous client's facts first. It costs about one credit.
- Duplicate & edit makes an instant exact copy with no AI and no credit, for when you would rather fill it in yourself.
- Or build a new deliverable in the Deliverable Builder: choose document or slide deck, describe it, attach the Sources, answer at most two follow-up questions plus one about visual direction, and approve before it generates. Builds typically take one to three minutes.
Every build reads your brand settings, Firm Voice, Firm Memory, the client's How to present to this client box, and the Sources you attached. Logos, colors, and disclosures come from firm settings. Values the sources do not support are left blank rather than invented, so you will see exactly where numbers still need to come from your planning software.
Step 6: Review it like compliance will
This is the step not to skip. PREZENTD does not approve content for compliance and does not verify financial facts on its own; your firm remains responsible for review and supervision. A practical review checklist:
- Check every number against its source: the statement, the CSV export, or your planning software. PREZENTD does not perform financial calculations or projections.
- Read every claim about the client against the transcript. The Client Profile cites quotes so this is quick.
- Confirm the firm disclosure appears. It renders on previews, links, PDF, print, and PowerPoint exports.
- Remove anything that reads as a performance promise or a recommendation your firm has not approved.
- Use the version history if a supervisor needs to see who changed what and when.
Edit text in place or through the Edit Fields panel with no AI call and no credit. Structural changes go through a bounded review revision, capped at 25 per deliverable.
Step 7: Deliver the proposal
Once approved, download the proposal as a PDF (every plan), print it, or present it full screen in the meeting. On Pro and Team, slide decks download as editable PowerPoint, and you can share a presentation link: encrypted, expiring 30 days after creation, revocable at any time, and fixed to the approved version so later edits never change what the client saw. PREZENTD never sends anything to the client; you copy the link and send it yourself.
Frequently asked questions
Does PREZENTD connect to Zocks or Jump?
No. PREZENTD has no notetaker, CRM, or calendar integrations and does not record meetings. Copy or export the transcript from your notetaker, then paste it or upload the file. This works with any notetaker that lets you copy or download a transcript.
Can I use the notetaker's summary instead of the full transcript?
Yes. Mark it as Notes when you upload it. A full transcript produces a richer Client Profile and Meeting Report, because both cite what the client actually said.
How long does it take to go from meeting to draft proposal?
The Meeting Report and Client Profile are usually ready within a minute or two, and a build typically takes one to three minutes. Your review is the step that takes real time, and it should.
Does turning meetings into proposals cost extra?
Logging meetings and generating Meeting Reports and Client Profiles never spends credits, on any plan. The proposal itself is a normal deliverable: a typical document uses one credit, Adapt with AI uses about one, and Duplicate & edit is free. Plans start at $189 per month with a 7-day free trial; no charge until day 8.
Is client data from the transcript used to train AI models?
No. PREZENTD's AI requests run on zero-data-retention routing with no model training on customer content. PREZENTD is built on the CW Frontier Innovations platform, which maintains SOC 2 Type II compliance, with PREZENTD in scope of the audit. Data is hosted and stored in the United States.
Can the client see the Meeting Report?
No. Meeting Reports and Client Profiles are internal to your firm's workspace. Only the deliverables you approve and choose to share reach the client.
